Even the best processes, templates, and recurring meetings have an expiry date. Over time, they can become outdated, overly time-consuming, or simply disconnected from the team’s actual needs.

To avoid carrying unnecessary overhead, we developed a simple evaluation checklist the team can use to decide whether a process, template, or meeting should be kept, adapted, or retired.

P&T Value Checklist

The P&T Value Checklist is designed to be quick, objective, and team-driven.

Each recurring process or template is scored across seven criteria, with 0 = No, 1 = Meh?, and 2 = Yes.

The total score tells you what to do next:

  • 12–14 points: Keep as is.

  • 8–11 points: Needs review or adaptation.

  • < 8 points: Retire, replace, or radically rethink.

By regularly applying this checklist, teams ensure that every process and template actively supports delivery, maintains relevance, and aligns with current goals

Anything that no longer serves its purpose is gracefully removed.
